IEPs and Student Records must be password-protected if sent via email.
- In most cases, student records should remain in your client school's approved-LMS.
- If you are required to send student records via email, follow this tutorial to encrypt and send files securely:
Emailing Encrypted Files
You can safely send encrypted student records by email if required.
- Do not send the password in the same email.
- Send the password in a separate email.
- For sample email templates, see below
FERPA Compliance
Do Not Store Student Records On Your Device!
- When emailing student records or IEP documents, always password-protect the file before sending.
- These documents may need to be downloaded as PDFs to your device first.
- After encrypting, delete any unencrypted copies from your device immediately.
Share Only on a Need-to-Know Basis
- Student records may only be shared with parents/guardians and school partners who have a legitimate educational need to know.
Use IEP at a Glance When Possible
- In many cases, you can review student accommodations in the IEP-at-a-Glance in your student roster on PLI Connect, which may reduce the need to send full IEPs:
