Password Protecting Sensitive Student Records

IEPs and Student Records must be password-protected if sent via email.

Emailing Encrypted Files
You can safely send encrypted student records by email if required.

  • Do not send the password in the same email.
  • Send the password in a separate email.
  • For sample email templates, see below

FERPA Compliance

Do Not Store Student Records On Your Device!

  • When emailing student records or IEP documents, always password-protect the file before sending.
  • These documents may need to be downloaded as PDFs to your device first.
  • After encrypting, delete any unencrypted copies from your device immediately.

Share Only on a Need-to-Know Basis

  • Student records may only be shared with parents/guardians and school partners who have a legitimate educational need to know.
