If you ever find yourself writing the same email over and over again, you might want to try making a email template. It takes a small amount of setting up, but can save quite a bit of time in the long run.
Enable templates
- Open Gmail.
- At the top right, click Settings
, then See all settings.
- At the top, click Advanced.
- In the Templates section, select Enable.
- At the bottom, click Save Changes.
Create or change templates
- Click Compose in Gmail, just as you would to write an email.
- In the Compose window, enter your template text. (Tip: For parts that you know you'll change, like the name, write it in all caps, brackets, or bold so you notice it enough to change it. For example, "Dear [PERSON]")
- Click More options
, then hover over Templates.

Choose an option:
- To create a new template, hover over Save draft as template > Save as new template. Then give it a name and click Save.
- To change a previously saved template, click Save draft as template and under Overwrite Template, choose a template and click Save to overwrite it.
Using a template
- Go to compose an email like you normally would.
- Click More options
, then hover over Templates.
- Under Insert template, choose a saved template to insert in your email.
- Compose the rest of your message, edit it to make it personalized to the receiver, and click Send.
Deleting a template
- Click Compose in Gmail.
- Click More options
, then hover over Templates.
- Click Delete template, choose the template you want to delete, and click Delete.
